TERMS OF SERVICE

The ground rules for using Infusion Studio. Booking policies, 
cancellations, payment terms, and what to expect from us.

Welcome to Infusion Studios. By booking or using our space, you agree to these Terms of Service. Please read carefully before making a reservation.

1. ACCEPTANCE OF TERMS
 
By booking Infusion Studios through our website, contacting us for a reservation, or using our facilities, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service, along with our:
​
  • Privacy Policy
  • Equipment Use Policy
  • Liability Waiver
  • Refund/Cancellation Policy
 
If you do not agree to these terms, please do not book or use our space.
 
2. BOOKING & RESERVATIONS
 
How to Book
​
All reservations must be made through our website at [yourwebsite.com]. While you may contact us via email, phone, or social media with questions, all bookings are finalized through our online booking system.
 
Booking Confirmation
 
Your reservation is confirmed only when:
  • You complete the online booking process, AND
  • Payment is received (see Payment Terms below)
 
We reserve the right to refuse service to anyone for any lawful reason.
 
Who Can Book
​
  • You must be 18 years of age or older to book Infusion Studios
  • Businesses and organizations may book but must provide:
    • Business name and tax ID or proof of business registration
    • Certificate of insurance (required for certain events - see Section 17)
    • Authorized representative contact information
 
3. PAYMENT TERMS
​
Payment at Booking
 
Currently, full payment is required at the time of booking to secure your reservation.
 
Note: We may offer a deposit-based payment structure in the future. If deposit options become available:
  • 50% deposit will be required at booking
  • Remaining 50% balance due 7 days before your event date
  • Existing bookings will operate under the terms agreed upon at the time of booking
 
Accepted Payment Methods
 
We accept payment methods available through Wix Payments, which currently include:
  • Credit cards (Visa, Mastercard, American Express, Discover)
  • Debit cards
 
Pricing
 
Pricing varies based on:

  • Type of use (photo shoot, video production, podcast recording, event, etc.)
  • Duration of rental
  • Date and time
  • Additional services requested
 
All prices are in USD and subject to applicable taxes.
 
Non-Payment
 
Failure to pay the balance (if deposit structure applies) by the due date may result in:
  • Cancellation of your reservation
  • Forfeiture of deposit
  • Additional fees
 
4. CANCELLATIONS & REFUNDS
 
For all cancellation and refund terms, please see our Refund/Cancellation Policy.
By booking, you agree to the cancellation terms outlined in that policy.
 
5. CHANGES TO YOUR BOOKING
 
Date & Time Changes
​
  • First change: FREE if we have availability for your new requested date/time
  • Additional changes: Subject to change fee of $_______ [YOU NEED TO DECIDE THIS AMOUNT]
  • All changes subject to availability
  • Changes must be requested at least _____ days before original booking date [RECOMMEND 7-14 DAYS - YOUR CALL]
 
Guest Count or Usage Type Changes

  • Increases: Additional charges apply based on our standard pricing
  • Decreases: No refund for lower guest count or shorter usage time
  • Pricing will never decrease - if changes result in higher cost, you pay the difference
 
Finalizing Details
​
Please finalize all booking details (guest count, setup needs, vendor list) at least 7 days before your event to ensure we can accommodate your needs.
 
6. SPACE USAGE & CAPACITY
 
Maximum Occupancy
 
Maximum occupancy varies based on the type of activity and room configuration:
  • Events: Contact us for capacity based on your event type and setup
  • Photo/Video Shoots: Based on crew size and equipment needs
  • Podcast Recording: Based on studio configuration
 
Exceeding maximum capacity is strictly prohibited and may result in immediate termination of your reservation without refund.
 
Rental Period
​
  • Your rental period begins and ends at the times specified in your booking confirmation
  • Early arrival: You may arrive 15-30 minutes early for setup, but the space may not be available until your reserved start time due to scheduling constraints
  • Late departure: See Overtime Policy (Section 12)
 
Operating Hours
​
  • Events must end by 11:00 PM to comply with noise ordinances and neighboring business considerations
  • Other usage types may have different end times based on booking agreement
 
7. SPACE USAGE RULES & PROHIBITED ACTIVITIES
 
General Conduct
 
All guests and users must:
  • Treat the space, equipment, and staff with respect
  • Follow all posted rules and staff instructions
  • Comply with all applicable laws and regulations
  • Supervise their guests and ensure compliance with these terms
 
Strictly Prohibited
 
The following activities are absolutely not allowed at Infusion Studios:
 
Smoking & Substances:
  • No smoking or vaping indoors under any circumstances
  • Smoking permitted in designated outdoor areas only
  • All smoking-related trash must be properly discarded
  • No illegal drugs or controlled substances
 
Safety Violations:
  • No weapons (except licensed security personnel with prior approval)
  • No open flames or candles without prior written approval
  • No exceeding maximum occupancy
  • No blocking fire exits or safety equipment
 
Alcohol:
  • All alcohol MUST be provided by our approved vendors
  • Absolutely no outside alcohol or liquor allowed
  • Customer is responsible for ensuring compliance with Texas alcohol laws
  • Intoxicated or disruptive guests may be asked to leave
 
Prohibited Behaviors:
  • No illegal activities of any kind
  • No violence, fighting, or threatening behavior
  • No discrimination, harassment, or hate speech
  • No disruptive or unsafe conduct

Property Damage:
  • No glitter, confetti, or difficult-to-clean decorations without approval
  • No attaching items to walls or ceilings without permission
  • No moving furniture or equipment without staff approval
  • See our Equipment Use Policy for equipment-specific rules
 
Violation of any prohibited activity may result in immediate termination of your event without refund.
 
8. THIRD-PARTY VENDORS
 
Vendor Approval Required
 
All third-party vendors (caterers, DJs, photographers, decorators, bartenders, etc.) must be approved by Infusion Studios in advance.
 
To request vendor approval:
  • Provide vendor name and contact information at least 7 days before your event
  • Vendor may be required to provide proof of insurance
  • We reserve the right to deny any vendor for any lawful reason
 
Our Services
 
Infusion Studios offers catering, beverage service, and other event services. Please inquire about our in-house capabilities before booking outside vendors.

Customer Responsibility
​
You are responsible for:
  • Actions and conduct of all vendors you bring
  • Ensuring vendors comply with our rules and policies
  • Any damage caused by your vendors
  • Coordinating vendor arrival, setup, and departure times
​
9. CUSTOMER RESPONSIBILITIES
​
By booking Infusion Studios, you agree to:
​
  • Provide accurate information when booking (name, contact info, guest count, event details)
  • Supervise all guests and ensure their compliance with our policies
  • Supervise any minors present (if minors are part of your booking)
  • Notify staff immediately of any damage, malfunction, or safety concerns
  • Follow all posted rules, instructions, and staff directions
  • Leave the space in the same condition you found it (basic tidying/cleanup expected)
  • Comply with all local laws (noise ordinances, alcohol regulations, occupancy limits, etc.)
  • Arrive and depart within your reserved time (see Overtime Policy)
  • Report accurate guest count and finalize details in advance

Failure to meet these responsibilities may result in additional fees, loss of deposit, or termination of your event.
 
10. OUR RESPONSIBILITIES
 
Infusion Studios agrees to:
​
  • Provide a clean, safe, and ready-to-use space at your reserved start time
  • Ensure all equipment is functional (or repair/replace as outlined in our Equipment Use Policy)
  • Have staff available for support during business hours
  • Honor your reserved date and time (no double-booking)
  • Maintain a code-compliant, safe facility
  • Respond to questions and concerns in a timely manner
 
11. WHAT WE ARE NOT RESPONSIBLE FOR

Infusion Studios is NOT liable for:
​
  • Lost, stolen, or damaged personal property (see Liability Waiver)
  • Actions, conduct, or services of third-party vendors you hire
  • Equipment damage caused by customer misuse (see Equipment Use Policy)
  • Power outages, utility failures, or internet/Wi-Fi connectivity issues beyond our control
  • Weather-related impacts or conditions
  • Personal injuries (see Liability Waiver)
  • Failure to meet your event goals or expectations
  • Issues caused by your failure to provide accurate information or finalize details
 
Please secure your valuables. We are not responsible for items left behind, lost, or stolen.
 
12. OVERTIME POLICY
 
Grace Period
 
You have a 15-minute grace period after your reserved end time at no additional charge.
Overtime Charges
 
After the 15-minute grace period, overtime rates apply based on your booking type:
  • Photo shoots: $______ per 30 minutes [YOU DECIDE RATE]
  • Video production: $______ per 30 minutes [YOU DECIDE RATE]
  • Podcast recording: $______ per 30 minutes [YOU DECIDE RATE]
  • Events: $______ per 30 minutes [YOU DECIDE RATE]
 
Pre-Approval Required
 
Overtime is not guaranteed. If you anticipate needing additional time:
  • Request extension at least 24 hours in advance
  • Extension subject to availability and approval
  • You cannot simply run over without approval - we may have another booking immediately after yours
 
Overtime charges will be applied to your payment method on file.
 
13. EARLY TERMINATION
 
Our Right to Terminate
 
Infusion Studios reserves the right to immediately terminate your reservation and require you to vacate the premises if:
  • You violate any prohibited activities (Section 7)
  • You exceed maximum occupancy
  • You cause damage to property (intentional or due to negligence)
  • You engage in unsafe, disruptive, or illegal behavior
  • You fail to comply with staff instructions
  • You fail to pay required fees
  • Any other violation of these Terms of Service
 
No Refund for Rule Violations
​
If we terminate your event due to your violation of our policies, you will receive NO REFUND.
 
Force Majeure (Acts of God)
 
If we must close due to circumstances beyond our control (natural disaster, government order, facility damage, pandemic, emergency, etc.):
  • We will work with you to reschedule your event
  • If rescheduling is not possible, refunds/credits will be handled on a case-by-case basis
  • See our Refund/Cancellation Policy for additional information
 
14. EQUIPMENT USE
 
All equipment usage is governed by our Equipment Use Policy.
 
By using our space, you agree to:
  • Handle all equipment with care
  • Follow usage instructions
  • Report damage or malfunction immediately
  • Accept financial responsibility for damage caused by misuse or negligence
 
Please review our Equipment Use Policy before your event.
 
15. LIABILITY & ASSUMPTION OF RISK
 
Use of Infusion Studios involves inherent risks. By booking or entering our facility, you agree to our
 
Liability Waiver, which includes:
  • Assumption of risk for personal injury or property damage
  • Release of Infusion Studios from liability claims
  • Indemnification for claims arising from your use of the space
 
Please review our Liability Waiver - it is a binding legal agreement.
 
16. PRIVACY & DATA COLLECTION
 
We collect and use personal information as outlined in our Privacy Policy.
 
By booking, you consent to our collection and use of your data for:
  • Processing reservations and payments
  • Communicating about your event
  • Marketing and promotional purposes (you can opt-out)
 
We may photograph or record events for marketing purposes. You grant permission unless you opt-out in writing.

17. INSURANCE REQUIREMENTS
 
Business & Corporate Events
 
If you are booking on behalf of a business, corporation, or organization, you must provide proof of general liability insurance with minimum coverage of:
  • $1,000,000 per occurrence
  • $2,000,000 aggregate
 
Certain Event Types
 
We may require insurance for:
  • Events with alcohol service
  • Large events (over _____ guests) [YOU DECIDE THRESHOLD - RECOMMEND 50-100]
  • Events with high-risk activities
  • Multi-day bookings
 
We will notify you at time of booking if insurance is required.
 
18. INTELLECTUAL PROPERTY
 
Your Content
 
You retain all rights to content you create at Infusion Studios (photos, videos, recordings, podcasts, etc.).
 
Our Marketing Use
 
By using our space, you grant Infusion Studios permission to use photos and videos taken at your event for:
  • Marketing and promotional materials
  • Social media content
  • Website imagery
 
You may opt-out by notifying us in writing before your event.
 
Sharing & Tagging
 
We encourage you to share content from Infusion Studios!
  • Tag us on social media (@infusiondtx or similar)
  • Use our hashtags
  • Share photos/videos that showcase our space in a positive light
 
Our Branding
 
Our name, logo, and branding are protected intellectual property. You may not use "Infusion Studios" branding for commercial purposes without written permission.
 
19. DISPUTE RESOLUTION
 
Informal Resolution
​
If a dispute arises, we encourage both parties to first attempt to resolve the matter through informal discussion and good-faith negotiation.
 
Mediation
 
If informal resolution fails, both parties agree to attempt mediation before pursuing legal action.
Mediation costs will be shared equally.
​
Legal Action
​
If mediation is unsuccessful, disputes will be resolved through:
  • Jurisdiction: Courts located in Dallas County, Texas
  • Governing Law: Laws of the State of Texas
  • Small Claims: Claims under $20,000 may be filed in Texas Small Claims Court
​
No Class Actions
​
You agree to resolve disputes individually and waive the right to participate in class-action lawsuits against Infusion Studios.
​
20. MODIFICATIONS TO THESE TERMS
​
Right to Modify
​
Infusion Studios reserves the right to modify these Terms of Service at any time.
​
Notice of Changes
​
  • We will update the "Effective Date" at the top of this document
  • Significant changes will be communicated via email or website notice
  • Continued use of our services after changes constitutes acceptance
​​
Existing Bookings
​​
Bookings made before changes take effect will operate under the terms agreed upon at the time of booking.
 
21. SEVERABILITY
​
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect.
 
22. ENTIRE AGREEMENT
 
These Terms of Service, along with our Privacy Policy, Equipment Use Policy, Liability Waiver, and Refund/Cancellation Policy, constitute the entire agreement between you and Infusion Studios.
No other agreements, representations, or warranties (written or verbal) are binding unless documented in writing and signed by both parties.

  • You voluntarily accept all terms and conditions
