Infusion Studios provides professional-grade equipment to enhance your experience. This policy outlines how to use our equipment responsibly and what happens if something gets damaged.
By using our space, you accept full responsibility for all equipment during your rental period.
1. EQUIPMENT PROVIDED
Infusion Studios includes access to the following equipment and amenities:
Audio Equipment

All equipment is provided "as-is" for your use during your rental period.

2. PLUG-AND-PLAY SETUP
​
We Set Up For You
​
Infusion Studios will configure and set up the room for your specific needs, creating a plug-and-play experience.
You should arrive to a ready-to-use space with equipment positioned and configured for your booking type (photo shoot, video production, podcast, event, etc.).

Assistance Available
​

Our team is available to assist with equipment questions or adjustments
-
For complex productions requiring ongoing technical support, staff can remain on-site (additional fees may apply)
​
Staff-Only Equipment
​
Certain high-value or complex equipment is staff-operated only:

Advanced lighting configurations

Professional camera equipment (moving/repositioning)

Complex audio setups
-
Any equipment designated as "staff-only" during your walkthrough

If your booking requires staff-only equipment, a team member will be on-site to operate it.

3. EQUIPMENT USE RULES

General Care
​
You agree to:

Handle all equipment with reasonable care and respect

Use equipment only for its intended purpose

Follow all setup and usage instructions provided by staff

Ask questions if you're unsure how something works
-
Report any damage, malfunction, or concern immediately
Basic Human Decency

We expect you to treat our space and equipment as you would want yours treated. Leave it better than you found it.
4. FOOD & DRINK RESTRICTIONS
Strict Rules - No Exceptions
NO FOOD OR OPEN DRINKS IN PRODUCTION ROOMS

This means:

No food in rooms with audio, video, or lighting equipment
-
No open cups, glasses, or containers near ANY equipment
-
No exceptions for "just a quick snack" or "I'll be careful"
Drinks Allowed (With Restrictions)

Covered drinks ONLY:
​

Sealed water bottles
-
Yeti-style tumblers with lids
-
Thermoses or closed containers
-
Any drink that won't spill if tipped over
​
Designated Safe Zones
​
-
Food and open drinks permitted in designated areas only
-
Safe zones will be clearly marked or communicated during setup
-
Kitchen area available for meals and refreshments
Why This Matters
​
One spilled drink on a microphone, mixer, or camera = thousands of dollars in damage. We're not risking it, and neither should you.
Violation of food/drink rules may result in immediate termination of your event without refund.
5. PROHIBITED USES

You May NOT:
Physical Misuse:
​

Stand on furniture (unless specifically designed for it)
-
Sit/lean on equipment cases or delicate items
-
Jump, climb, or engage in rough activity near equipment
​
Unauthorized Changes:
​
-
Move, reposition, or adjust equipment without staff approval
-
Disassemble, modify, or attempt repairs on any equipment
-
Remove equipment from designated areas or the premises
-
Change room configurations without permission
​
Electrical & Technical:
​
-
Overload power outlets or circuits
-
Use extension cords or power strips without approval
-
Adjust HVAC, climate controls, or facility systems without permission
-
Tamper with internet routers, network equipment, or connectivity systems
​
Unauthorized Equipment:
​
-
Bring outside equipment that may damage or interfere with ours (must be approved in advance)
​
Violation of any prohibited use may result in immediate termination and full liability for damages.
​
6. EQUIPMENT INSPECTION

Before Your Event
​

Infusion Studios inspects and tests all equipment before your arrival

Equipment is confirmed to be in working order and properly set up
​
During Your Event
​
-
Use equipment as intended
-
If something malfunctions or breaks, notify staff immediately (even if it's not your fault)

After Your Event
​
-
Staff will inspect all equipment after you depart
-
Any new damage will be documented with photos
-
You will be notified within 48 hours if damage is found
​
Documentation
​
We do not currently provide customers with pre-event condition reports, but we photograph and track the condition of all equipment regularly.
Recommendation: If you're concerned about being wrongly charged for pre-existing damage, take your own photos when you arrive and notify staff immediately of anything that looks damaged.
7. DAMAGE LIABILITY
You Are Liable For Damage If:

Caused by misuse, negligence, or carelessness
-
You failed to follow instructions or posted rules
-
You violated food/drink restrictions (spills on equipment)
-
You moved or adjusted equipment without permission
-
Your guests or vendors caused the damage
-
Damage occurred due to rough handling or improper use
​
You Are NOT Liable If:
​
-
Equipment fails due to normal wear and tear
-
Equipment has a manufacturer defect
-
Something breaks during proper, instructed use and you reported it immediately
IMPORTANT: Reporting damage immediately does NOT absolve you of liability if you caused it. If you break it, you buy it—honesty doesn't change that.
​
However, failure to report damage promptly will be treated as an attempt to conceal it, which may result in additional penalties.
​
8. DAMAGE COSTS & CHARGES
​
How We Assess Costs
​
Damage costs are based on full replacement value:

The cost to purchase a new, equivalent item
-
Includes applicable taxes and shipping
-
We do not use depreciated or "fair market" value
​
Examples:

Broken microphone → Cost of new identical mic
-
Stained couch → Professional cleaning cost OR replacement if unsalvageable
-
Damaged backdrop → Cost of new backdrop
​
When You're Charged
​
-
We will charge your card on file for damage costs
-
Charges occur after damage assessment (typically within 48-72 hours)
-
You will receive an itemized invoice before charges are processed
Notification Process
If damage is found, you will receive:

Phone call from our team explaining the damage
-
Email with photos showing the damage
-
Cost breakdown with replacement/repair quotes
-
Invoice before charges are applied
You will have 24 hours to dispute charges before they are processed.
No Damage Deposit

We do not collect a separate damage deposit. Instead:

You authorize us to charge your payment method on file for any damage
-
This authorization is part of your booking agreement
-
Charges are only applied if actual damage occurs
​
9. HIGH-VALUE EQUIPMENT
​
Professional-Grade Gear
​
Infusion Studios invests heavily in high-end, professional equipment including:

Cinema-quality cameras

Broadcast-grade audio equipment
-
Advanced lighting systems
-
Custom-built sets and fixtures
Staff-Only Movement
​
High-value equipment may ONLY be moved, adjusted, or repositioned by Infusion Studios staff.
​
If you move staff-only equipment without permission:

You assume full liability for any damage
-
Your event may be terminated immediately
-
You may be charged for staff time to reset equipment properly
​
Your Equipment
​
You are welcome to bring your own cameras, tripods, laptops, and other production gear. However:

We are not liable for loss, theft, or damage to your personal equipment (see our Liability Waiver)
-
You ARE liable if your equipment damages our property (e.g., heavy tripod scratches floor, your light stand falls on our equipment, etc.)
10. EQUIPMENT FAILURE (Not Your Fault)

If Equipment Malfunctions During Proper Use
We understand that sometimes equipment fails through no fault of the user. If this happens:
Our Commitment:

We will repair or replace malfunctioning equipment immediately if possible

We have backup equipment for most critical items
-
If we cannot provide a working alternative, we will issue a refund for the affected portion of your rental
Examples:

Microphone stops working mid-podcast (not dropped or misused) → We provide backup mic or partial refund

Light bulb burns out during shoot → We replace immediately
-
Wi-Fi goes down due to ISP issue → We troubleshoot; if unresolvable, partial refund
No Refund If:
-
Equipment fails due to your misuse or negligence
-
You didn't report the issue promptly so we could fix it
-
Failure is minor and doesn't significantly impact your ability to use the space
11. REPORTING DAMAGE OR ISSUES
Report Immediately
If something breaks, malfunctions, or gets damaged:

Honesty Does NOT Reduce Liability
Let's be clear: If you caused the damage, you're paying for it regardless of when or how you report it.
Reporting immediately is required, but it doesn't earn you a "get out of jail free" card.
However: Failure to report damage promptly will be viewed as an attempt to avoid responsibility, which may result in:

Loss of future booking privileges

Additional penalties or fees
-
Legal action if damage is severe
Just tell us. Don't make it worse by hiding it.
12. CLEANING & CONDITION EXPECTATIONS
Leave It Better Than You Found It
We expect basic human decency:
You Should:
-
Pick up trash and dispose of it properly
-
Wipe down surfaces if you spilled something
-
Stack chairs/tables neatly if you moved them
-
Remove all personal items and belongings
-
Turn off lights and close doors when you leave

You Should NOT:
-
Deep clean or scrub equipment (we handle that)
-
Attempt to clean complex equipment yourself (just notify us if something spilled)
-
Rearrange or disassemble setups
If You Leave a Mess
If the space is left in unacceptable condition:

We may charge a cleaning fee of $75 per hour
-
Excessive mess may result in loss of future booking privileges
-
Damage caused by neglect (e.g., food left out attracting pests) is billed as equipment damage
13. CONSEQUENCES OF POLICY VIOLATIONS
Immediate Termination
We reserve the right to immediately terminate your event and require you to vacate if:

You violate food/drink restrictions and damage equipment
-
You misuse or damage equipment through negligence
-
You refuse to follow staff instructions regarding equipment
-
You engage in prohibited uses
No refund will be issued if your event is terminated for policy violations.
Financial Liability

You will be charged for all damage as outlined in Section 8
-
Additional fees may apply for cleaning, staff time, or lost bookings due to equipment unavailability
Loss of Booking Privileges
Severe or repeated violations may result in:

Ban from future bookings at Infusion Studios
-
Reporting to industry blacklists (for production companies or repeat offenders)
14. CUSTOMER-PROVIDED EQUIPMENT
You May Bring Your Own Gear
We encourage professional users to bring their own cameras, lenses, audio recorders, laptops, and other production equipment.
Our Liability
We are NOT responsible for:

Loss of your equipment
-
Theft of your equipment
-
Damage to your equipment (even if caused by our staff - see Liability Waiver)
Secure your belongings. We are not liable.
Your Liability
You ARE responsible if:

Your equipment damages our property (floors, walls, equipment, etc.)
-
Your setup interferes with our systems (e.g., wireless mic frequencies, network bandwidth)
Example: Your heavy camera rig scratches our floor → You pay for floor repair.

All policies are binding when you book Infusion Studios.
17. MODIFICATIONS
Infusion Studios reserves the right to update this Equipment Use Policy at any time. Changes will be reflected in the "Effective Date" above.
Existing bookings operate under the policy version agreed upon at the time of booking.

18. ACKNOWLEDGMENT
By booking or using Infusion Studios, you acknowledge:

You agree to pay for any damage you cause

You understand that violations may result in immediate termination without refund

Treat our equipment like it's yours. Actually, treat it better than yours—because you're paying to replace it if you break it.
We've invested in professional-grade gear so you can create amazing content. All we ask is that you respect it.
